Attaching WordPerfect Files to Fax Messages
In addition to ASCII text, .DCX, and .PCX formats, FACSys can interpret
Hewlett-Packard's PCL language. WordPerfect and other popular word
processors can produce files in this format. From the point of view of the
WordPerfect user, the file is sent to a "printer" chosen from the printer
list, and the print image is saved as a DOS file. From the Notework user's
point of view, attachments are DOS files. A Notework user may attach a PCL
file to a note that is addressed to a fax machine through Notework/FACSys,
and the recipient would see the WordPerfect document as it would have
appeared on a Hewlett-Packard laser printer.
The procedure below was performed under WordPerfect 5.1; you may have to
adapt it for use at your site. Questions about this procedure should be
directed to WordPerfect Corporation technical support. In particular, the
laser-printer support group at 1-800-541-5170 should be able to handle your
questions.
You can use the existing WordPerfect printer definition as a basis for
defining a print-to-file selection. The printer characteristics are the same,
but the device selection is a DOS file rather than an LPTx device. Each user
will have to incorporate the new definition into their own setup (under WP
5.1 at least) because the device selection is part of the user's setup. Fonts
must be embedded in the file to guarantee that your fax board will be able to
generate the page.
=====SUPERVISOR PROCEDURE: Provide resources for users=====
Before telling users about the procedures below, locate your downloadable
font files, which would typically be in a subdirectory of your WordPerfect
system directory (example: \WP51\FONTS).
Make a copy of the "HP LaserJet Series II" printer definition file for users
to use in the first procedure. Change directories to the directory where the
WordPerfect printer-definition files are stored and type
COPY HPLASEII.PRS PCLFILE.PRS
at the DOS prompt. This will protect HPLASEII.PRS from being changed by users.
Review the procedures below to see where questions might arise. In particular,
notice that your preparations (described above) tie into steps 4 and 8 of the
first procedure. For WordPerfect's purposes, a "user" is the set of 3 letters
entered at the opening screen of the network edition. The first procedure will
affect the content of the file WP<3 letters>}.SET in the WordPerfect system
directory. You may do the first procedure on behalf of a user by entering the
3-letter username that they use.
=====USER PROCEDURE: How to create a print-to-file selection that=====
===== allows documents to be saved as PCL files =====
The first procedure must be done once per user. (It can be done more than
once to have more than one PCL filename available.) Once completed, the
second procedure may be performed as often as needed to create PCL files
for faxing via Notework/FACSys.
1. Enter WordPerfect. You don't need to be in any particular directory when
you do this; you will be creating a .PRS file that will be saved in the
directory that your WordPerfect setup uses for printer files. (If you want
to see your setup in WordPerfect, press <Shift-F1> for Setup, then 6 for
Location of Files. Press 0 (zero) to exit the Location of Files and Setup
menus.)
2. Select Print <Shift-F7> to see the main Print menu.
3. Press S for Select Printer and a list of printers will appear. Press A
(or 2) to see the list of additional printers. Then press L (or 4) to
see the list of .PRS files.
4. Move the highlight to PCLFILE.PRS and press <Enter>. "Helps and hints" for
the HP LaserJet II will appear. Press <F7> to exit the help screen and
proceed to the "Select Printer: Edit" menu.
5. Press N (or 1) to change the name of the printer, as seen on the "Select
Printer" list. We suggest the name "Create OUTPUT.PCL". Type the name,
which may contain spaces, followed by <Enter>.
6. Press P (or 2) to select the printer port. Various LPT and COM ports
are listed, but you can also use this option to direct output to a DOS
file.
7. Press letter O (or 8) for Other. You should get the "Device or Filename:"
prompt. Type a filename; we suggest OUTPUT.PCL. (You can put in a full
path to a file if you want.) You will be asked if this is a Network
Printer; say No by pressing N. You should be back at the "Select Printer:
Edit" menu.
8. Press D (or 6) to change the path for downloadable fonts. Enter the full
path to the directory where your HP-PCL fonts are stored, followed by
<Enter>. (Path specified by system Supervisor.)
9. Press <Enter> (or 0) to return to the Select Printer screen. If you have
a document to be faxed at this time, select "Create OUTPUT.PCL" and jump
to step 3 of the next procedure. Otherwise, press 0 (zero) to exit this
screen without changing the selection and press 0 again to exit the Print
menu. Press <F7> to exit WordPerfect.
=====USER PROCEDURE: How to prepare a WordPerfect document for=====
===== transmission via Notework/FACSys to a fax machine =====
1. In WordPerfect: have the document on screen. Select Print <Shift-F7> to
see the main Print menu.
2. Press S for Select Printer and a list of printers will appear. Select
"Create OUTPUT.PCL".
3. Press F (or 1) to print the full document to the file.
4. Now you can pop up Notework and send a note to a fax address with
OUTPUT.PCL specified as an attachment.
5. Select Print again and return the printer settings to normal.
6. Delete OUTPUT.PCL after the next outgoing fax cycle. (Cycle time
specified by system Supervisor.)
